| Vacancy Type:Work Experience:Age:22 271. Perform a wide variety of confidential executive secretarial and administrative duties; 2. Provide timely, effective diary management by prioritizing and organizing meetings with internal and external stakeholders in consultation with the MD; 3. Provide a full range of administrative and clerical support services, including filing and records management; faxing, mail, maintenance of registers and routine databases, photocopying, compilation of manuals and reports; 4. Review and record all incoming correspondence and emails, including allocating, redirecting to appropriate staff for action and following up on the preparation of responses; 5. Ensure all outgoing correspondence, reports, submissions and briefings submitted to the MD conform to the organization’s presentation, style, format and content protocols; 6. Coordinate domestic and overseas conference travel and accommodation arrangements, ensuring compliance with the organization’s policy and practice; 7. Organize meetings, workshops, seminars and related functions; 8. Provide timely, efficient secretarial services, including minute taking, and related administrative support to meetings, workshops, seminars and related forums as required; 9. Represent MD in the internal and external Meeting, or other functions when MD is not available; and 10. Performing other tasks assigned by superior. |
