Job Description

  Job Purpose:
Performs a full range of reception and communications duties for The Cambodia Office (INGO), and provides various support services for administrative functions.
Reception
• Receives visitors to the CARM by obtaining clearance from CARM personnel concerned, directing visitors to appropriate office or waiting area, and maintaining a log of all visitors.
• Ensures that visiting dignitaries and other visitors with special requirements are received with appropriate protocol and that the host is notified of arrival.
• Receives and logs all documents received from outside sources.
Telephone Operation
• Answers incoming calls and connects them to called parties.
• Provides assistance to all outgoing calls, ensuring clear line quality.
• Logs all operator-assisted calls by indicating calling and called parties, time and charges for call.
• Maintains and collects reimbursement of long distance calls from mission staff/consultants for deposit into CARM's imprest account.
• Reports defective line and defects in equipment to supervisor for proper action.
• Enters daily call log into computer for analysis and bill processing.
• Informs supervisor upon receipt of threats to The Cambodia Office (INGO) properly or personnel.
Administration
• Arrange air ticket for staff, mission, consultant, gov’t participants
• Manage the rooms reservations for video conference and meeting ensuring no conflict schedule
• Arrange flowers/snacks/coffee break/ lunch for meeting as requested
• Manage pouches ensuring that incoming pouch are logged, properly distributed and that outgoing pouch are logged and delivered on time;
• Coordinate with staff on shipment ( incoming and outgoing) ensuring the incoming shipment are properly distributed and that outgoing shipment are delivered
• Ensure that The Cambodia Office (INGO) Publications display in a waiting room are properly maintained with the existing system;
• Performs any other duties as may be required and reflected in the incumbent’s work plan.

Job Requirements

  Work experience
• At least 3 years experience in a private or public organization
Technical knowledge
• Good interpersonal and communication skills
• Fluent in English communications
• Good typing, memo composition and editing skills
• Good computer skills especially MS Word, Excel and Power Point
• Familiar with computer systems generally used in multilateral organizations
People and supervisory skills
• Able to work with individuals from different cultural and national backgrounds
• Able to liaise and work effectively with staff within own work location
• Able to work collaboratively with teams as a constructive team member
• Able to manage priorities and workload within the general schedule of work, instructions and standardized practices
• Able to maintain composure under pressure
• Good oral and written communication skills in English
